Job Description

We currently have an exciting opportunity for an Executive Assistant supporting the Chief Executive Officer and Chief Administration Officer to be based out of our corporate office in Glendale, CA.

The ideal candidate should be detail-oriented and organized while interacting with all levels of employees. This role is face paced and will strategically manage Executive's time with respect to priorities. The candidate should be capable of wearing many hats and provide professional support at all levels. Must be discrete and have a "can do" attitude who is a competent multi-tasker possessing a drive to handle all projects with tact and precision.


  • Coordinating and organizing Outlook calendars and meetings.
  • Overseeing and coordinating travel administration.
  • Handling all expense reimbursements and analysis.
  • Tracking and reporting budgets and metrics.
  • Creating reports using Microsoft Excel and other software programs.
  • Preparing PowerPoint presentations as instructed.
  • Compiling, reviewing and editing litigation and other legal status reports.
  • Drafting and editing correspondence, legal and other documents.
  • Answering phones promptly and with professionalism.
  • Basic administrative duties such as copying and filing (both electronic and physical files).
  • Other duties as assigned


  • A minimum of 7 years of proven track record of success supporting Executives /C-Suite required
  • Ability to anticipate needs, problem solve, and identify solutions; highly organized and understand juggling priorities, timely with follow up
  • Ability to handle multiple tasks frequently within short timelines, to prioritize and organize work, and to complete assignments in a timely, accurate manner
  • Excellent verbal and written communication skills, as well as strong organization and interpersonal skills.
  • Advanced Microsoft Office skills including Word, Excel, PowerPoint, and Outlook.
  • Focus on excellent customer service and delivering quality work product
  • Demonstrated ability to take initiative and exercise independent/sound judgment and exercise diplomacy in all areas of responsibility.
  • Ability to anticipate executives and department needs and acts proactively.
  • Ability to meet new challenges with an open mind and an optimistic response.
  • High level of professionalism and confidentiality.
  • Ability to interact with C-Suite and Senior Executives, Board Members and staff (at all levels) in a fast paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful and efficient.
