Job Description

Contact Center Support Assistant duties and responsibilities include providing support to ensure the efficient operation of the Contact center. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Responsibilities:

  • Prepare, process and monitor invoices (all accounts payables, check requests)
  • Supports new hire onboarding coordination between candidates, IT, field support and Training.
  • Acts as liaison with contact center, IT & HR in maintaining equipment inventories, evaluating new equipment requirements and assist in tracking and contacting ex-employees for equipment returns.
  • Preparation, tracking and completion of all internal PS documents. I.e. System access forms/ Purchase requests, etc.
  • Assists Management in follow through of agent access IT tickets.
  • Help design contest/announcement flyers and purchase gift cards, Grub hub vouchers and prizes, including tracking $$ rewards for payroll and maintaining relationships for merchandise providers.
  • Track and  maintain records customer compliments for agent reward /recognition opportunities.
  • Coordinates and schedules center events such as Awards Ceremonies, special lunches and events.
  • Maintains Care Center management Duty Rota for management/incident coverage.
  • Collaborates with WFM and HR to maintain Master Care Center employee database.
  •  Assists with internal communication of agent engagement newsletters, archives and manages content.
  • As needed, generate reports and presentations, set up for meetings, and reordering supplies.
  • Assist with customers service administrative workload and customer calls as needed

Qualifications

  • Proven administrative or coordinator experience in similar tasks and responsibilities.
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • High school diploma or equivalent; college degree preferred
